Xero Alternatives in South Africa: 6 Options Compared
Xero is a genuinely good product. It is also built for the UK, Australia and New Zealand first, which is why South African businesses keep running into the same three walls: currency, SARS compliance, and payroll.

This is an honest comparison of what you can use instead.

Why people leave Xero

The pricing is not in rands. Xero bills in foreign currency. Every time the rand weakens, your accounting software gets more expensive without a single feature being added. Businesses that budgeted R450/month in one year have found themselves paying meaningfully more the next.

No native SARS returns. Xero calculates VAT, but it does not produce a VAT201 in the format SARS expects. Your bookkeeper re-keys the numbers into eFiling every two months. That is where transcription errors creep in.

Payroll is a separate purchase. PAYE brackets, UIF at 1% each side capped at R17,712 of monthly earnings, and SDL at 1% of payroll once you cross R500,000 a year all have to live somewhere. For most Xero users in South Africa, that somewhere is a second subscription.

The six alternatives

1. LEDGA

Built in South Africa for South African rules. VAT is set at 15% out the box, VAT201 and EMP201 come out in SARS format, and payroll with PAYE, UIF and SDL is part of the product rather than an add-on.

The free Starter plan covers invoicing, expenses and VAT with no card required. Paid plans are priced in rands, so your bill does not move when the exchange rate does.

Best for: SMEs, freelancers and anyone who wants SARS compliance handled without a bookkeeper in the loop.

Weakness: it is a younger product than Xero, so the third-party app ecosystem is smaller.

2. Sage Business Cloud Accounting

Sage has been in South Africa for decades and every accountant knows it. Strong local compliance and a deep partner network.

Best for: businesses whose accountant has already standardised on Sage.

Weakness: the interface shows its age, and the cheaper tiers are limited enough that most businesses end up on a mid tier.

3. QuickBooks Online

Polished, well-documented, huge global user base.

Best for: businesses with international operations or US-based investors who expect familiar reporting.

Weakness: Intuit has scaled back its direct South African presence. VAT works, but PAYE and UIF do not, so payroll is again a separate product.

4. Zoho Books

Excellent value, especially if you already use Zoho CRM or Zoho Projects. Genuine South African VAT support.

Best for: businesses already inside the Zoho ecosystem.

Weakness: no South African payroll. The interface assumes you will invest time learning it.

5. Wave

Free invoicing and accounting.

Best for: side hustles and pre-revenue businesses with no VAT obligation.

Weakness: no South African VAT, no PAYE, no local support. Once you register for VAT you will outgrow it immediately.

6. A spreadsheet

Worth saying out loud: if you invoice three clients a month and are not VAT registered, a well-built spreadsheet is not a crime.

Best for: very early stage, very low volume.

Weakness: no audit trail, no automatic VAT calculation, and it stops scaling the moment you hire someone or register for VAT.

How to actually choose

Work through these in order:

  • Are you VAT registered, or will you cross R1 million turnover this year? If yes, native VAT201 support stops being a nice-to-have.
  • Do you have employees? If yes, you need PAYE, UIF and SDL in the same system, or you are reconciling two systems by hand every month.
  • Does your accountant have a strong preference? Fighting them costs more in billable hours than the software saves.
  • Can you absorb currency risk? If a 15% rand move would hurt, price in rands.
  • Switching without breaking anything

  • Export from Xero: customers, suppliers, invoices, chart of accounts, and your trial balance as at the switch date.
  • Time it for the first day of a VAT period or financial year. Never mid-period.
  • Import masters first, then opening balances, then verify the trial balance matches Xero to the cent.
  • Run both systems for one month in parallel. Yes, it is duplicate work. It is also how you catch a mapping error before SARS does.
  • Keep your Xero data export permanently. SARS can ask for records going back five years.
  • Do not cancel your old subscription until you have filed one complete return from the new system and it reconciled.

    The short answer

If your priority is SARS compliance in rands without a second payroll subscription, LEDGA is the closest fit and the free plan means you can test it against your real invoices before committing. If your accountant is deep in Sage, use Sage. If you have international reporting obligations, QuickBooks earns its price.

Start free with LEDGA and import a month of real invoices before you decide.

    Frequently Asked Questions

Why do South African businesses look for Xero alternatives?

The three most common reasons are cost (Xero bills in USD or GBP, so a weak rand raises your effective price every year), the lack of native VAT201 and EMP201 output for SARS, and payroll that needs a third-party add-on to handle PAYE, UIF and SDL correctly.

Is there a free alternative to Xero in South Africa?

Yes. LEDGA has a free Starter plan that covers invoicing, expense tracking and VAT calculation at 15% with no card required. Wave is also free but has no South African VAT or PAYE support, so you would be doing SARS compliance by hand.

Can I move my data from Xero to another system?

Yes. Xero exports customers, suppliers, invoices, and your chart of accounts as CSV files, and most alternatives import those directly. Plan the switch for the start of a VAT period or your financial year so you are not splitting a return across two systems.

Does Xero handle South African payroll?

Not natively. Xero removed its own payroll for most non-core regions, so South African users generally bolt on a separate payroll product. That means two subscriptions and a manual reconciliation between them each month.
